Location: Remote, with access to our office space at Workshop, Winchester. Site attendance as required.
Hours: 30 hours per week
Salary: £20,000 per year, with structured opportunities for progression based on performance and experience.
About KVIST Design
KVIST Design is a boutique interior design and architecture studio that creates turnkey boutique commercial spaces and beautifully crafted, high-end residential renovations. We are looking for a highly organised, proactive, and detail-driven individual to support our studio operations, procurement, and project management.
This role is ideal for someone who thrives in a fast-paced creative environment, enjoys keeping things running smoothly, and is excited to contribute to a growing design practice.
Key Responsibilities
1. Studio & Administrative Support
Manage diary scheduling for the director and design team.
Organise and maintain email correspondence and project files.
Keep internal databases, design schedules, and key documents up to date.
2. Client & Supplier Coordination
Act as a key point of contact for client and supplier queries.
Set up and manage trade accounts with suppliers.
Assist with client communications, including appointment confirmations and follow-ups.
3. Procurement & Logistics
Prepare and maintain design information schedules in Programa.
Order and track deliveries of design samples and project purchases.
Liaise with suppliers to obtain quotes, confirm lead times, and ensure timely deliveries.
Maintain procurement records, including budgets and invoices.
4. Project Support
Assist in compiling client presentations and mood boards.
Help prepare meeting agendas, take notes and track action items.
5. General Studio Operations
Ensure project files and documentation remain up to date and organised.
Help maintain an efficient and well-structured studio environment.
Provide general support to the director and team as needed.
Ideal Candidate
We’re looking for someone who is:
Highly organised, detail-oriented, and proactive.
An excellent communicator, confident in liaising with suppliers and clients.
Experienced in administration, procurement, or project coordination (ideally in a creative industry).
Familiar with Programa (project management, scheduling, procurement) and Trello (SOP & CRM) – training available if needed.
Comfortable using Mac Keynote, Pages, Numbers, and/or Office Suite for documents and presentations.
Able to manage multiple tasks efficiently in a small, collaborative team.
